PURPOSE
The HR Data Management Specialist is focused on the effective and efficient management of HR Data, Systems of Record, and other related HR Reports. S/he is responsible in updating and maintaining the accuracy of employees’ personal and employment information in the HRIS to enable it to be the “Single Version of the Truth” through regular alignment and close coordination with HR Business Partners. S/he shall provide documentation support to HRBPs in executing the employee movements such as Regularizations, Promotions, Transfers, and other employee data changes. S/he is responsible for generating relevant HR Data needed for standard reports such as but not limited to HR Dashboards, Employee Demographics, Employee Attrition, Headcount and Employee Cost Forecasts, and other unique information requirements to aid informed people and organization-related decision by both HR and line management.

QUALIFICATIONS
>Bachelor’s degree in Human Resources Management, Business Administration, Data Science, or equivalent
>With at least 3 years HRIS/HR Data Management-related experience
>With working knowledge in HRIS e.g. RAMCO, SuccessFactors, or similar platforms is an advantage
>With working experience in an environment with close coordination with HR Business Partners (HRBPs)
>With exposure in manpower planning – headcount and employee cost rolling forecasts
>Knowledgeable in the preparation of dashboards and other HR-related reports

JOB DESCRIPTION
HR DATA/ RECORDS MANAGEMENT
>Work closely with HR Data Management and Analytics Supervisor on employee movements in coordination with HRBPs, in accordance with agreed process at 100% compliance
>Accountable for all aspects of HR data processing and management to include transactions related to general employee data changes, movements, benefits, and compensation updates
>Advise HRBPs, Group Heads on the procedures and the requirements needed in compliance to triggering the documentation and execution of Employee Details Update
>Analyze and audit personnel transactions including performance evaluation forms for regularization, promotion, and transfer
>Review transactions for compliance with HR guidelines and business processes
>Identify ways to enhance operational effectiveness
>Investigate and resolve form and data errors
>Safeguard confidentiality of personal and professional employee records
>Respond to inquiries in a professional and timely manner through email or in person
>Deliver high quality and accurate HR data and service information to HRBPs

PERFORMANCE MANAGEMENT PROCESS SUPPORT
>Monitor Performance Management Process completion rates and provide updates to HRBPs for necessary action
>Collate and consolidate Performance Appraisal Ratings
>Assist in the preparation and distribution of Compensation Review worksheets for the annual merit increase performance bonus processes
>Support the preparation and distribution of Merit Increase/ Reward Letters, and monitor its retrieval for 201 files

HR REPORTS
>Plan, organize, audit, cleanse, and maintain HR data to ensure the production of accurate reports for HRBPs, Finance, and other requesting group/s
>Produce HR Dashboards for assigned client groups based on agreed standard data points as well as unique BU-specific information requirements
>Work with HRBPs, Talent Acquisition, line management, and Finance for accurate headcount and employee cost forecasts
