We are hiring an Executive Assistant
Arrangement: Permanent Work From Home (Remote)
As an Executive Assistant, you will play a pivotal role in providing comprehensive executive-level administrative support to the CEO. This multifaceted position requires a proactive and detail-oriented individual with exceptionfal communication skills, high adaptability, and the ability to maintain the utmost confidentiality. In this role, you will represent our leaders in various internal and external capacities, manage complex schedules, and contribute to organizational training initiatives.
Duties:
Calendar Management
- Skillfully manage professional and personal calendars exclusively for the CEO, ensuring optimal time utilization and prioritization.
Communication Hub
- Answer and direct calls, take detailed messages and ensure prompt follow-up as required.
- Efficiently manage the CEO's email inbox, ensuring critical correspondence is prioritized and responded to promptly.
Meeting Support
- Attend management committee meetings, preparing accurate and timely minutes.
- Extend minute-taking to other relevant meetings involving the CEO as requested.
Research and Information Management
- Conduct research on diverse subjects to support projects, policy creation, travel plans, and other business needs.
- Develop and maintain a robust records management system to keep files organized and accessible.
Confidentiality and Ethics
- Maintain utmost confidentiality in dealing with personal, professional, and financial information during and after serving in this role.
- Confidentiality shall also be observed in every interaction with other members of the organization.
- Use best judgment when deciding what to disclose to whom, disclose only to those who have a need to know after getting written approval from the CEO, and defer the side of discretion when in doubt.
- Carefully restrict access to confidential information to other contractors and shall not use the confidential information for his/her own benefit, or otherwise disclose to others, or permit the use by others for their benefit or to the detriment of the company and the CEO.
- Understand that nondisclosure provisions shall survive the termination of his/her services with the company.
Flexibility and Scheduling
- Provide a flexible work schedule accommodating the CEO's dynamic needs, considering time zone changes due to travel.
Special Projects
- Assist in accounting matters, specifically credit card expenses, and ensure timely settlement of payables.
Task Monitoring
- Monitor deliverables requested by the CEO through a To-Do List, ensuring timely completion.
Continuous Improvement
- Identify opportunities for organizational training and needs analyses, contributing to instructional design and delivery when applicable.
Additional Responsibilities
- Undertake additional tasks as required, which may or may not be directly related to the primary obligations but contribute to the overall efficiency of executive operations.
